Job Description
Summary
The Executive Legal Assistant will support Partners and Associate attorneys within the Commercial Litigation Practice group in a law firm located in Newark, New Jersey.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
- Support attorneys in all aspects from new matter opening to conclusion
- Assist with the preparation of court filings with Federal and State court
- Edit and proofread pleadings, briefs and transactional documents
- Prepare Table of Contents and Table of Authorities
- Coordinate client meetings
- Coordinate teleconference/video conference calls
- Maintain attorney calendars and contacts
- Coordinate attorney travel
- Run conflict checks and prepare new matter forms for opening
- Prepare engagement letters
- Draft general correspondence
- Enter attorney daily time entries
- Prepare and process expense reimbursements
- Review and finalize client bills
In addition, the candidate should adhere to responsibilities related to maintaining firm and client information, including compliance with the firm’s information security policies and reporting security events or potential risks to management.
Qualifications
- Minimum of 5-7 years of legal administrative/secretarial experience in a litigation firm
- Proficient in Microsoft Office Suite: Word, Outlook, Excel and PowerPoint
- Proficient in Kofax, Best Authority, iManage, Aderant, Litera Compare and Compulaw
- Possess strong organizational and technical skills
- Possess excellent attention to detail
- Ability to work independently and with a team
- Strong work ethic, positive, solution-oriented attitude
- Notary Public
EDUCATION And/or EXPERIENCE
- Bachelor’s degree required
- Prior legal experience is beneficial but not required
